Corporate & Legal Administrator

Location: Lausanne
Working rate: 100%
Hybrid: currently 2 to 3 days per week in the office, which may increase to up to 4 days as the team grows.

Banks, exchanges and regulators across Europe need to trust us. As our Corporate & Legal Administrator, you’ll make sure every entity, file and signature across the group is in perfect order.

You’ll own our corporate housekeeping end to end and work directly with the founders and the Legal team. This is not a classic admin role: we use AI tools every day and want you to help us rethink how this work gets done.

You will:

  • Own day-to-day entity maintenance across multiple regulated entities in Switzerland and the EU: domiciliation, annual filings, commercial register updates, corporate registers and routine corporate secretarial actions.
  • Prepare and manage KYB and KYC documentation packs for banks, crypto exchanges and commercial partners, and keep them up to date.
  • Run contract management: intake, signature, archiving, versioning and tracking of renewals and key deadlines.
  • Support the Legal team with signature workflows and board and shareholder documentation.
  • Handle incoming legal and administrative requests in coordination with Legal and Compliance.
  • Handle incoming and outgoing corporate mail, registered letters and couriers for group entities.
  • Handle highly confidential documentation (UBO declarations, identity documents, banking records, officer sign-off documents) with strict data privacy and security controls.
  • Use and improve AI-powered tools and automations to streamline filings, KYB packs, contract tracking and reporting.

About you:

  • 3 to 5 years of experience in a fiduciary, corporate services provider, law firm or bank back office.
  • Hands-on experience with entity management and commercial register filings; multi-jurisdiction exposure is a strong plus.
  • Full professional fluency in English and French, spoken and written.
  • Highly organised and rigorous: nothing falls through the cracks, deadlines are met.
  • Genuinely curious about AI and excited to use it daily. You don't need to be technical, but you like finding smarter ways to work.
  • Discreet, reliable and autonomous, with a service mindset.
  • Able to be in our Lausanne office 2 to 3 days per week today, and up to 4 as the team grows.

Where this can lead

This role is a launchpad. As the group grows, it can evolve toward corporate secretary or legal operations responsibilities.
